Privacy Notice
The short version
- We collect what we need to run your courses, assessments, and certification, plus what you choose to add to your profile.
- We use one cookie, to keep you signed in. We do not use advertising or analytics cookies, and we do not sell or rent your information.
- AI helps run practice conversations and suggests assessment scores. A Master MojoCoach reviews and scores every certification assessment, and people make every certification decision. Some practice feedback, such as feedback on your voice delivery, comes straight from the AI.
- We do not keep recordings of your voice. Audio is sent for transcription and deleted by our provider within 48 hours.
- You can download your data from your profile at any time, and you can ask us to correct or delete it.
1. Who we are
Mojo Academy is an online learning and certification platform operated by Mojo Moments ("Mojo Moments," "we," "us," or "our"). Mojo Moments decides how and why personal information on Mojo Academy is used, which makes us the "controller" or "business" responsible for it under privacy laws.
Dansbee Designs builds and maintains the Mojo Academy platform for us. It works with personal information only on our instructions and only to develop, host, secure, and support the platform.
This notice covers the Mojo Academy website, the signed-in learning platform, practice and certification assessments, the community features, and the emails we send you. If an organization enrolled you (for example, your employer or a training partner), that organization may also have its own privacy notice for the information it holds about you.
2. Information we collect
Information you or an administrator provide
- Account details: your name, email address, role, cohort, and the courses you are enrolled in. Accounts are created by invitation, so an administrator usually enters these first.
- Profile details you choose to add: display name, job title, short bio, profile photo, phone number, contact email, social media links, and your visibility, notification, and language settings.
- Community and feedback content: comments and reactions you post, course feedback and ratings, and messages you send through the feedback button. If you give permission, a quote from your feedback may appear as a testimonial on our website, shown with your first name and last initial.
Information created as you learn
- Progress: which modules you have completed and when, and which course resources you have downloaded.
- Practice and assessment sessions: the transcript of each scenario conversation (what you type or say, and what the simulated coaching client says back), the date and length of the session, and whether it counted toward certification.
- Scores and reviews: AI-suggested scores for each assessment criterion with the passages that support them, the scores and notes of the Master MojoCoach who reviews your session, and your overall result.
- Voice delivery feedback: if you use voice coaching, measurements of how you spoke (such as pace, filler words, and pauses) and a short written summary of them.
- Certificates: the certifications you have earned, with dates and results.
- Community membership: whether you hold a community membership and how it was granted.
Voice and microphone
Speaking instead of typing is optional. When you record a response for voice coaching, the audio is sent directly to our transcription provider, AssemblyAI, to be converted to text and measured. We do not store the audio on our own servers. See How long we keep it for how the provider deletes it.
If you use the microphone button to dictate a message, the speech-to-text feature built into your web browser does the conversion. Depending on your browser, the company that makes it (for example, Google for Chrome or Apple for Safari) may process that audio under its own privacy policy. You can always type instead.
Information collected automatically
- Sign-in and security data: a session identifier stored in a cookie, the times you sign in, and short-lived counters (keyed to your email address or IP address) that block repeated sign-in or posting attempts.
- Download records: the IP address and time when you download a course resource.
- Technical data: our hosting provider receives the IP address, browser type, and pages requested by every visitor so it can deliver the site and protect it from attacks.
We do not use analytics or advertising tools that track you, and we do not buy information about you from data brokers. We do not currently take payments on this site. If we add online payments, a payment processor will handle your card details and we will update this notice first.
3. How we use it
We use personal information only for the purposes below. Where the law of your location (such as the European Union or United Kingdom) requires a legal basis, it is listed with each purpose.

We do not use your information for advertising, and we do not sell it or share it for cross-context behavioral advertising.
4. AI-assisted assessment
Mojo Academy uses AI in three ways: to play the simulated coaching client in scenario conversations, to suggest scores for assessment criteria based on the transcript, and to write short feedback about voice delivery. These features are provided by Anthropic (Claude) and, for transcription, AssemblyAI.
- People decide certification. A Master MojoCoach reviews and scores every assessment that counts toward certification. AI scores are suggestions that the Master MojoCoach can accept or change. Certification decisions are made by people at Mojo Moments, not by an automated system.
- Some practice feedback is automated. Certain practice scenarios, such as those that give feedback on your voice delivery during a coaching conversation, send AI-generated feedback straight to you without a person reviewing it first. That feedback is for your learning and is not used to make certification decisions.
- You can ask questions. If you want to know how an assessment was scored, or you believe a score is wrong, contact us and a person will review it with you.
- No model training. Our AI providers process your content to provide the service to us. Our agreements with them do not allow them to use your content to train their AI models.
5. Who we share it with
Within Mojo Academy
- Master MojoCoaches, facilitators, and administrators at Mojo Moments see your account, progress, sessions, scores, and certificates so they can teach, assess, and support you.
- Other members see your comments, reactions, and the profile details you choose to make visible.
- Your organization: if an organization enrolled you, we may share your enrollment, progress, and certification status with it.
Service providers
These companies process personal information on our behalf, under contracts that limit their use of it to providing their service:

Other situations
- Legal reasons: when we believe in good faith that the law, a court order, or a valid government request requires it, or to protect the rights, safety, or property of our users, the public, or Mojo Moments.
- Business changes: if Mojo Moments is involved in a merger, acquisition, or sale of assets, personal information may transfer as part of that deal. The new owner must continue to protect it as this notice describes, and we will tell you before that happens.
- With your permission: for any other purpose you agree to.
6. Cookies and similar technologies
We use one cookie:

Because this cookie is necessary for the service you ask for, it does not require consent, and there is no cookie banner. We do not use analytics, advertising, or social media tracking cookies.
The platform also saves a few settings in your browser's local storage (for example, light or dark theme and how you arranged the page). These stay on your device and are not sent to us.
Embedded videos use YouTube's privacy-enhanced mode and Vimeo's do-not-track setting. YouTube or Vimeo may still set their own cookies when you play a video, under their own privacy policies. Fonts are delivered from our own domain, so loading a page does not send your information to a font provider.
Do Not Track: we do not track you across other websites, so browser Do Not Track and Global Privacy Control signals do not change how the site works. We honor them as a request not to sell or share your information, which we do not do.
7. How long we keep it
We keep personal information only as long as we need it for the purposes above:

8. Your rights and choices
Depending on where you live, you may have the right to:
- Access and portability: get a copy of your information. Signed-in users can download it at any time from Profile, Privacy and data, in a machine-readable file.
- Correction: fix information that is wrong. You can edit most profile details yourself; contact us for anything else, such as your name or email address.
- Deletion: ask us to delete your account and information, subject to the records described in section 7.
- Objection and restriction: object to uses based on our legitimate interests, or ask us to limit how we use your information.
- Withdraw consent: for example, ask us to stop showing your testimonial. This does not affect anything done before you withdrew it.
- Human review: ask a person to review an assessment result and explain how it was reached.
- Opt out of sale or sharing: we do not sell or share personal information for advertising, so there is nothing to opt out of.
To make a request, email susan.fowler@mojomoments.com. We will confirm the request comes from you (usually by replying to the email address on your account) and respond within 30 days. If a request is complex we may need longer where the law allows it, and we will tell you why. You may use an authorized agent where your local law allows; we may ask for proof of their authority. We will not treat you differently for using your privacy rights.
9. Region-specific information
European Economic Area, United Kingdom, and Switzerland
We do not currently offer Mojo Academy to people in these regions. If you use it from there, you have the rights in section 8 under the GDPR, UK GDPR, or Swiss law, the legal bases in section 3 apply, and you may complain to your local data protection authority. We would prefer that you contact us first so we can try to resolve the concern.
California
This notice is intended to meet the California Online Privacy Protection Act. To the extent the California Consumer Privacy Act applies to us, California residents have the rights in section 8, including the rights to know, delete, and correct, and the right not to be discriminated against for using them. In the past 12 months we have collected the categories of information described in section 2 (identifiers, professional information, internet activity, audio, and inferences drawn from assessments), for the purposes in section 3, from you, your organization, and your use of the platform. We have not sold or shared personal information, and we do not use sensitive personal information to infer characteristics about you. We do not disclose personal information to third parties for their own direct marketing.
Other United States states
If you live in a state with a consumer privacy law, such as Colorado, Virginia, or Connecticut, you have the rights that law gives you, including the right to appeal if we decline your request. To appeal, reply to our decision and ask for an appeal.
Canada, Brazil, Australia, and elsewhere
You have the rights your local law provides, such as those under Canada's PIPEDA, Brazil's LGPD, or Australia's Privacy Act. Contact us to use them. You may also complain to your local privacy regulator.
10. International transfers
Mojo Moments is based in the United States, and our service providers store and process information in the United States and other countries. When information from a country with transfer rules leaves that country, we rely on the safeguards that law allows, such as the European Commission's Standard Contractual Clauses or a provider's certification under the EU-U.S. Data Privacy Framework.
11. Security
We protect your information with encrypted connections, passwordless sign-in links that expire after one use, secure cookies that page scripts cannot read, access based on each person's role, limits on repeated attempts, and providers that encrypt stored data. No system is perfectly secure. If a breach affects your personal information, we will notify you and the authorities as the law requires.
12. Children
Mojo Academy is for adults in professional training. It is not intended for anyone under 18, and we do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.
13. Changes to this notice
We may update this notice as the platform or the law changes. We will post the new version here with a new effective date. If a change is significant, we will tell you by email or when you next sign in, and we may ask you to review and accept it before continuing.
